Personal Information Privacy Act ("PIPA").
Scope of Policy
This Policy guides how CFA Society Vancouver collects, stores and uses personal information which is collected by CFA Society Vancouver or provided to CFA Society Vancouver, whether through our websites or by other methods such as applications, enrolments, registrations, orders or other means. This Policy covers CFA Society Vancouver's website only and does not cover any websites that are linked to CFA Society Vancouver websites, including the CFA Institute website.
means the act of gathering, acquiring, or obtaining personal information from any source, including third parties, by any means.
“consent” means voluntary agreement to the collection, use and disclosure of personal information for specified purposes. Consent may be expressed or implied. Express consent can be given orally or in writing it is unequivocal and does not require any inference on the part of CFA Society Vancouver. Implied consent exists when CFA Society Vancouver Society can reasonably infer consent based on your action or inaction.
“disclosure” means making personal information available to a third party.
“Member” includes Regular, Affiliate, and Associate members of CFA Society Vancouver Society as well as applicants for such membership.
“personal information” means information about an identifiable individual but does to include business contact information of an individual. Personal information does not include information that is about corporate or commercial entities. It also does not include information that cannot be associated with a specific individual.
“third party” means an individual or organization other than CFA Society Vancouver and you.
“Privacy Officer” means an individual designated by CFA Society Vancouver who is accountable for CFA Society Vancouver’s compliance with this Policy and who can be contacted as set out at the end of this Policy.
“use” means the treatment and handling of personal information by and within CFA Society Vancouver.
We gather information about you to help us better understand your needs and to provide you with personalized and efficient service. CFA Society Vancouver collects your personal information for the following reasons:
to establish a relationship and communicate with Members;
to provide or offer Members services, programs and products associated with being a Member of the CFA Society Vancouver Society;
to continually learn about and understand our Members needs in order to provide relevant programs and services;
to process Member registration (for example, to process a credit card transaction);
to respond to requests for information;
to meet requirements imposed by law; and
any other purpose for which the Member is given notice and which is reasonably related to the maintenance of the Member's relationship with the CFA Society Vancouver Society
If you choose to provide us with personal information, CFA Society Vancouver may also release your personal information to CFA Institute and various organizations. These organizations may include, but are not limited to CFA Institute and other societies, which may send you information about products and services they offer, other companies and organizations that have products or services that we believe may be of interest to you, companies which process your credit card if you order our materials or as required by applicable laws or regulations. By becoming a Member of CFA Society Vancouver you also allow CFA Society Vancouver to release your personal information to individuals and entities which order CFA Society Vancouver's Membership Directory.
CFA Society Vancouver will obtain your consent to collect, use and/or disclose personal information except where CFA Society Vancouver is authorized or required by PIPA or other law to do so without consent.
By becoming a Member of the CFA Society Vancouver Society and CFA Institute, you consent to the release of information related to your membership for the purposes outlined above.
Consent may be provided orally, in writing, electronically, through inaction (such as when you fail to notify CFA Society Vancouver that you do not wish your personal information collected/used/disclosed for optional purposes following reasonable notice of the same), action or otherwise. You may withdraw consent at any time, subject to legal or contractual restrictions, provided reasonable notice is given. We will inform Members of any implications of withdrawing consent.
Limits on Collection
CFA Society Vancouver will limit collection of information to that which is reasonable and necessary to provide services which is reasonable and necessary for the purposes consented by you. CFA Society Vancouver will collect information as authorized by PIPA or other applicable law.
Limits on Use, Disclosure and Retention
Your personal information will only be used or disclosed for the purposes set out above and as authorized by PIPA and other applicable law.
CFA Society Vancouver will keep personal information used to make a decision affecting an individual for at least one year after using it to make the decision.
CFA Society Vancouver will destroy, erase, or make anonymous documents or other records containing personal information as soon as it is reasonable to assume that the original purpose is no longer being served by retention of the information and retention is no longer necessary for legal or business purposes.
CFA Society Vancouver will take due care when destroying personal information so as to prevent unauthorized access to the information.
CFA Society Vancouver will make reasonable efforts to ensure that personal information it is using or disclosing is accurate and complete. In some cases, CFA Society Vancouver relies on you to ensure that certain information, such as your address or telephone number is current, accurate and complete.
Safeguarding personal information
CFA Society Vancouver protects the personal information in its custody or control by making reasonable security arrangements to prevent unauthorized access, collection, use, disclosure, copy, modification, disposal or similar risks. Some specific safeguards include:
physical measures such as locked filing cabinets;
organizational measures such as restricting access to files and databases as appropriate;
electronic measures such as firewalls and passwords;
regular reviews of processes in place to safeguard personal information; and
investigative measures where CFA Society Vancouver has reasonable grounds to believe that personal information is inappropriately collected, used or disclosed.
Confidentiality and security are not assured when information is transmitted through email or other wireless communication. CFA Society Vancouver is not responsible for any loss or damage suffered as a result of a breech of security and/or confidentiality when you transmit data to CFA Society Vancouver by e-mail or other electronic means of communications and when CFA Society Vancouver transmit such information by such means at your request.
Where CFA Society Vancouver discloses personal information to organizations that perform services on its behalf, we will require those service providers to use such information solely for the purposes of providing services to the person concerned or CFA Society Vancouver and to have appropriate safeguards for the protection of that personal information.
You have a right to access your personal information held by CFA Society Vancouver. Your personal information will be provided upon request and authentication of identity. Upon written request and authentication of identity, CFA Society Vancouver will provide you with your personal information under our control, information about the ways the information is being used, and a list of individuals and organizations to whom that information has been disclosed.
CFA Society Vancouver may charge a reasonable fee for providing information in response to a PIPA request. CFA Society Vancouver will make the information available within 30 days or provide written notice where additional time is required to fulfill the request.

If any changes are made to this Policy, we will ensure appropriate notice is given. However, we encourage you to review this Policy from time to time to ensure you are aware of and accept any changes made.
